Records & inspection readiness
Waste records are the single most-requested document set in an NRC or Agreement State inspection. The standard is not 'can you produce them' — it is 'can you produce them in minutes, with a clear audit trail from generation through release.'
Records the inspector will ask for
Inventory log
Generation date, stream, container ID, initial activity estimate, expected release date, current location. Updated at generation — not reconstructed at release.
Release-survey records
Signed survey forms tied to container IDs in the inventory log. Background readings, instrument calibration records, and surveyor identification. Failed surveys retained alongside successful ones.
Manifests & chain of custody
For any off-site shipment: signed manifest, broker acknowledgment, transport documentation. For on-site disposal: release-survey record plus disposal pathway annotation.
Audit trail integrity
Every container traceable from generation to disposition. No gaps, no untracked transfers between rooms, no inventory entries with missing release-survey references.
Inspection-readiness shortlist
Pull in under 60 seconds
Last quarter's release-survey records. Current decay-storage inventory snapshot. Most recent instrument calibration certificates. Written waste procedures with current signature page.
Pull in under 10 minutes
Full inventory log for the past 12 months. All off-site shipment manifests with broker confirmations. §20.2003 monthly concentration calculations (if applicable). Training records for everyone who performs release surveys.
A quarterly internal mock inspection — where the RSO asks the technologist to produce these records cold — is a good way to pressure-test the filing system. If anything takes longer than the target, that's usually a filing issue, not a technologist issue.
